Privacy Policy
Strategic Editing respects the privacy of its clients, prospective clients and website visitors. This Privacy Policy explains how personal information is collected, used, stored and shared in connection with the Strategic Editing website and services.
For the purposes of UK data protection law, Cristina Opran trading as Strategic Editing is the data controller in relation to personal information processed for the operation of the business.
For privacy-related enquiries or requests, please contact Strategic Editing through the Contact page or at privacy@strategicediting.co.uk.
1. Personal Information We May Collect
Depending on how you interact with Strategic Editing, we may collect information including your name, email address and other contact details; organisation or professional details where relevant; information contained in enquiries and correspondence; project requirements and communications; billing, invoicing and transaction information; and information contained in documents or other materials provided in connection with a project.
The website may also collect limited technical information, such as browser, device, IP address or website-usage information, where this is generated through hosting, security, analytics, cookies or similar technologies.
Where relevant to a project, personal information may also be obtained from a client, another person or organisation, or a publicly available source.
Please do not submit confidential, regulated or particularly sensitive material through the initial website enquiry form. Where such information may be necessary for a project, appropriate arrangements can be discussed before it is shared.
2. How We Use Personal Information
Personal information may be used to respond to enquiries and discuss prospective projects; prepare quotations or proposals; enter into and manage client engagements; provide Strategic Editing services; communicate about projects; issue and manage invoices and payments; maintain appropriate business, accounting and administrative records; protect the security and integrity of the website and business; establish, exercise or defend legal rights; and comply with applicable legal and regulatory requirements.
We do not sell personal information.
3. Lawful Bases for Processing
The lawful basis used depends on the purpose for which the information is processed.
Where you are an individual client, we may process information because it is necessary to take steps at your request before entering into a contract or to perform a contract with you.
Where we communicate with individuals acting on behalf of organisations, administer the business, maintain appropriate records, protect our systems or manage professional relationships, we may rely on our legitimate interests, provided those interests are not overridden by the rights and interests of the individuals concerned.
We may process information where necessary to comply with a legal obligation, including applicable tax, accounting and regulatory requirements.
Where processing requires consent, we will rely on consent and you may withdraw it at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.
4. Client Materials and Information About Other People
Materials supplied for Strategic Editing services may sometimes contain personal information relating to people other than the client.
Where Strategic Editing processes such information solely on a client’s instructions as part of an agreed service, the client may remain the data controller and Strategic Editing may act as a data processor. Additional data-processing arrangements may be agreed where appropriate.
Clients should avoid providing personal information about other individuals unless it is relevant to the work and they are entitled to provide it.
If particularly sensitive personal information is required for a project, its handling may need to be considered separately before it is shared.
5. Use of AI and Other Digital Tools
Strategic Editing may use AI-assisted and other digital tools where appropriate as part of delivering its services. Where client material is processed using AI-assisted tools, we take reasonable steps to protect confidentiality and minimise unnecessary disclosure. We do not knowingly submit client content through AI services under settings that permit that content to be used for model training. Where appropriate, information may be limited, redacted or de-identified before processing.
Any AI-assisted output used within a project remains subject to human review and professional judgement before being incorporated into the final work.
6. Service Providers and Sharing of Personal Information
Strategic Editing may use trusted third-party providers to support the operation of the website and delivery of its services. Depending on the services used, these may include website hosting and form providers, email and cloud-storage services, payment or accounting services, AI-assisted and other digital tools, and professional advisers.
Personal information is shared only where reasonably necessary for the relevant purpose or where disclosure is required by law.
Where third parties process personal information on our behalf, we take reasonable steps to use providers offering appropriate data-protection and security arrangements.
7. International Data Transfers
Some service providers may process or store personal information outside the United Kingdom.
Where this constitutes a restricted international transfer under UK data protection law, we take steps to ensure that an appropriate transfer mechanism is available, such as UK adequacy regulations or legally recognised safeguards, where required.
The UK’s international-transfer rules apply to sole traders as well as other organisations, and the ICO recognises adequacy arrangements and specified safeguards as mechanisms for lawful restricted transfers.
8. How Long We Keep Personal Information
Personal information is retained only for as long as reasonably necessary for the purposes for which it was collected.
The appropriate retention period depends on factors including the nature of the information, the purpose for which it is held, the duration of the client relationship, contractual requirements, applicable tax and accounting obligations, the need to resolve queries or disputes, and the possibility of establishing, exercising or defending legal claims.
Information that is no longer required will be deleted, anonymised or otherwise securely disposed of where appropriate.
UK privacy information may state either specific retention periods or the criteria used to determine them, so this approach is legitimate and avoids inventing arbitrary deletion periods before you have established your actual records-management practice.
9. Security
We take reasonable technical and organisational measures to protect personal information against unauthorised access, disclosure, alteration, loss or misuse.
However, no method of electronic transmission or storage can be guaranteed to be completely secure.
10. Cookies and Similar Technologies
The Strategic Editing website may use cookies or similar technologies for purposes such as essential website functionality, security and, where applicable, analytics.
Further information about the technologies used, their purposes and the choices available to website visitors is provided in the Cookie Policy.
Where consent is legally required for non-essential cookies or similar technologies, they will not be used until the appropriate consent has been obtained. The ICO currently requires positive consent before non-essential cookies are set; strictly necessary cookies are treated differently.
11. Automated Decision-Making
Strategic Editing does not use solely automated decision-making that produces legal or similarly significant effects on individuals.
AI-assisted output used in client work remains subject to human review and professional judgement as described above.
12. Your Data Protection Rights
Depending on the circumstances and the lawful basis for processing, UK data protection law may give you rights relating to your personal information, including the right to request access to the information held about you; correction of inaccurate or incomplete information; erasure of information in certain circumstances; restriction of processing; objection to certain processing; and, where applicable, data portability.
Where processing is based on consent, you may withdraw that consent at any time.
These rights are not absolute and may be subject to legal conditions or exemptions.
Requests concerning your personal information can be made using the contact details provided at the beginning of this Policy.
13. Questions and Complaints
If you have a question or concern about how your personal information has been handled, please contact Strategic Editing in the first instance using the contact details provided above.
Data protection complaints will be handled in accordance with applicable UK data protection requirements.
If you remain dissatisfied, you also have the right to make a complaint to the Information Commissioner’s Office (ICO), the UK’s data protection regulator.
As of 2026, organisations handling personal data must provide a way for people to make data-protection complaints, acknowledge them within 30 days and investigate them appropriately.
14. Changes to This Privacy Policy
This Privacy Policy may be updated from time to time to reflect changes in Strategic Editing’s services, working practices, technology or legal obligations.
The date at the top of this page indicates when it was most recently updated.
